How to Remove a User from Your Clinic

When a team member leaves your clinic, it's important to remove their access to VetNotes promptly to keep your account secure and your recordings confidential.

It’s the clinic’s responsibility to remove users who no longer work there, just like disabling access to other workplace systems.

When Should You Do This?

You should remove a user as soon as possible if:

  • A staff member has left the clinic

  • A vet is no longer working at your practice

  • A locum or temporary user no longer needs access

  • You are using multi-clinic mode and a user has moved to a different clinic

Who Can Remove or Deactivate Users?

Only clinic admins have permission to remove or deactivate users. If you are not an admin and need a user removed, please contact your clinic's admin.

Admin access can be managed under Settings > Teams & Clinics > Roles.

Steps:

  1. Log in to VetNotes and go to Account, then Settings.

  2. Select Teams & Clinics from the menu.

  3. Find the user you want to remove in the members list.

  4. Click the trash/bin button next to their name.

  5. Select Remove to confirm the action.

What this does

  • Removes that person from your clinic. The user will no longer appear in your clinic's member list.

  • Stops them from accessing your clinic’s Vetnotes account and will lose access to your clinic's recordings, notes, templates, settings, and integrations.

  • Helps keep your team list and billing accurate
