How to use the VetNotes RxWorks Integration

VetNotes can enter notes directly into RxWorks!

How it works

  1. VetNotes reads in appointments (clipboard entries) from RxWorks.

  2. When you're about to record, choose the relevant appointment inside VetNotes.

  3. Do VetNotes recording as normal.

  4. VetNotes will automatically push the note into RxWorks when ready.

Technical Info

  • VetNotes will add it's note below any existing notes. It will not overwrite the existing text.

  • VetNotes will only insert the first note generated into RxWorks. This will be your default or pre-selected template. Subsequently generated notes will not be inserted into Rx.

Quality Control

  • VetNotes can optionally insert a set phrase at the top or bottom of a note.

  • Eg "Checked: NO" or "--- VetNotes ---". By default it will insert "Verified: No" at the top.

  • After reviewing the note in RxWorks, staff can remove or update this phrase, so it is explicitly clear that the note has been human-verified.

  • The phrase is configurable in API settings.

Note insertion logic

VetNotes know's the patient for the recording, since it is selected inside VetNotes. When a recording has finished processing, it will determine where insert the note:

  • If a visit for the current date exists, and a consult exists for the visit, the consult text will be updated.

  • If a visit exists for the current date, but no consult is attached, VetNotes will insert a consult for the Visit.

  • If no visit exists for the current date, VetNotes will create a Visit & Consultation.

  • Where VetNotes encounters multiple Visits for a certain day, or multiple consultations for a day, it will update the latest visit or consultation.

Troubleshooting

  • VetNotes should be the primary contact for any issues related to the integration.

  • Since VetNotes manages the integration directly, we can quickly resolve any issues without requiring changes from RxWorks/Covetrus.
